Sending e-invoices - required fields and statuses

What information each e-invoice must contain and what the invoice statuses mean

What must every e-invoice include?

  • Invoice number and date - unique invoice identifier and issue date

  • Your company details - name, address, VAT/CBE number (filled from your business profile)

  • Recipient details - company name and CBE/CIN number (required for Belgian B2B)

  • Line items - each with description, quantity, unit of measure (e.g. units, hours, kilograms), and price

  • VAT breakdown - VAT rate and amount per category

  • Payment method - e.g. Bank transfer, SEPA, Credit card, Cash

  • Currency - typically EUR for Belgium

  • Due date - payment due date

Tip: Three fields are most commonly missed: payment method, unit of measure on each line item, and the recipient's CBE number. Make sure all three are filled in before sending.

Invoice statuses explained

  • Draft - invoice created, you can still edit or delete it

  • Sending - being transmitted to the Peppol network (you can no longer edit or delete)

  • Sent - successfully delivered to the recipient's Access Point

  • Accepted - recipient confirmed receipt

  • Refused - recipient rejected the invoice (you may need to issue a correction)

  • Error - delivery or validation failed (check the error details and correct the invoice)

  • Viewed - recipient has opened the invoice

Important: Once an invoice reaches Sending status, it cannot be edited or deleted. If you need to correct an error, you must issue a credit note.
